Job Overview

A local organisation currently implementing an emergency response program on COVID-19 pandemic calls for additional support to ensure timely and effective implementation of the planned interventions. The organisation seeks interns to assist in the efficient and effective realisation of its Programs Department Objectives.

Scope and focus of the Assignment

  • Acts as the main contact person during the absence of Programme Officers, making follow ups with Provincial/Regional Project Officers and attending to emergencies with appropriate in-house staff;
  • Develop, manages and maintains efficient Project databases and mailing lists ensuring all Project related information is captured, including from regional/provincial offices and synchronized with related Programmes;
  • Works with the information system and databases to monitor various aspects related to team functioning and project/programme implementation;
  • Develops and maintains an efficient filing system for the team, including assistance in processing calls for proposals and project reports as required;
  • Works to respond to calls for proposals and maintains a tracking system of responses to proposals;
  • Organizes regular team meetings and conference calls/video-conferences including the preparation and distribution of documents and providing the necessary technical devices;
  • Takes minutes of regular team meetings and other meetings with the assistances of and coordination with the Research Officer as required;
  • Assists the Provincial/Regional Officers with project information for efficient and effective implementation of the Project and related Programmes through tracking project action plan, progress and completion in liaison with the Monitoring, Evaluation, Accountability and Learning Officer;
  • Performs any other related duties in accordance with instructions from the Coordinator and other Programme team members;
  • Develops, maintains and keep updated records of travel plans, documents, reconciliations and budget amounts including of Provincial/Regional Office staff as required and advised by the Senior Programmes Team and approved by Finance Department;
  • Provide administrative, travel, coordination, preparation and other support for the participation of Project and related Programme Team in workshops and events as well as hosting the same events together with disseminating all internal and external approved materials;
  • Plan and implement the ongoing database development and maintenance program in response to the existing and emerging needs of the organisation;
  • Facilitate the Coordination and synchronization of the pillar activities to enhance impact and Value for Money principle;
  • Facilitate activity budgeting and expenditure and activity reporting;
  • Assist in any other logistical support as delegated by the Programs department


The ideal Interns will have knowledge of and/or proven expertise in:

  • Computer packages efficiency (Excel, Power-point, Word);
  • Report writing; Budgeting;
  • Financial literacy;
  • Community and People skills;
  • Monitoring and Evaluation

Specific Deliverables

The Interns will provide the following deliverables:

  • Developing meeting agenda and facilitation plans;
  • Coordinating within the organisation and with external stakeholders on planned activities;
  • Developing clear and accurate activity budgets;
  • Producing and filing guiding weekly plans;
  • Drafting activity reports (Narrative and financial);
  • Making weekly database entries;
  • Produce researches on identified areas of organisational interest,

Duration of the contract

  • The interns will be engaged until December 2020

Institutional reporting

  • The Interns will liaise with and report directly to Project Officers as designated by the Programs Manager/ Human Resources Manager
