Job Overview


  • To liaise with buyers, suppliers and authorised dealers so to ensure that there is an adequate supply of products for the trade.

Minimum Qualifications:

  • Diploma/Degree in Purchasing and Supply Chain Management

Minimum Experience:

  • 4-5 years procurement experience in retail/FMCG

Knowledge, Skills & Abilities:

  • Sage Evolution
  • Advanced MS Excel (this is critical)
  • Import exposure (this is critical)
  • Communication skills (verbal & written)
  • Negotiation skills
  • Time management skills

Description of Tasks / Processes and Operations

Order placement

  • Running of procurements (a type of report) and doing edited averages for imports
  • Placing of orders on imported lines
  • Communicating and arranging with the supplier on loading and dispatch dates for orders
  • Co-ordinating transport for the orders to be collected and arranging for clearance
  • Monitoring the transit movement of shipments
  • Preparing and calculation of duties and other import dues – Duty Calculators.
  • Dummy approvals
  • Co-ordinating with the clearing agents on any issues arising at the border
  • Supplier management in general
  • Checking of local procurements at regular intervals


  • Following up import documents at the border
  • Doing Costings for product input
  • Ensuring inputs are done on time

Stock management

  • Demand planning – running procurements and checking on over/under stocks and also forecasting
  • Expiries tracking
  • Stock taking
  • Running SOH as and when required by Sales

Pastel Costing Checks

  • Checking GP reports for all imports
  • Manual pastel costing checks for all imports

Compliance issues

  • National Biotech registration and renewals
  • Agricultural Marketing Authority Registration and renewals • Ensuring products are labelled correctly.

Months Cover Meetings

  • Preparation of the months cover reports
  • Months Cover meetings with sales
  • Follow up on deliberations of the months cover meetings

Supplier Claims

  • Raising of supplier claims on damages in transit, short supplies/short-dated stock
  • Attending to supplier queries on the claims
  • Uploading claims on smart-sheets
  • Following up on claims payments
  • Communicating with Finance on the approved claims
  • Ensuring all claims are settled
