CARE began working in Zimbabwe in 1992 in response to a severe regional drought. After establishing a drought mitigation program, CARE began longer term developmental programs with local partners in building small dams, strengthening local microfinance institutions, and launching projects to assist small businesspersons in the rural areas.

CARE Zimbabwe’s overall goal is to empower disadvantaged and poor households to meet their basic needs. Programs promote sustainable livelihoods of poor and vulnerable people.

Job Description

The Project Secretary will be responsible for providing administrative support for the efficient and effective implementation of project activities

Key Duties and Responsibilities

  • Orders, issues and maintains an adequate inventory of project supplies such as stationery and office equipment
  • Raises Internal Purchase Requisitions (IPR) for approval to facilitate smooth procurement process for the team and follows up on requests with the Procurement department
  • Tracks Project Manager’s`s key meetings and appointments
  • Organizes project meetings, venues, travel and accommodation for staff and stakeholders
  • Maintains a proper filing system for soft and hard copies of project documents including back-ups, such as project reports, project proposals (Custodian of project information and correspondence)
  • Consolidates Personnel Activity Reports (PARs) for the project
  • Maintains and updates a leave tracker in liaison with the Team Leader
  • Follows up on project issues such as action points, scope of work, submission of PARs, weekly updates
  • Facilitates internal communication to project staff as assigned by the Team Leader
  • Requests, receives, make payments and liquidates cash advances for the project
  • Follows-up on status of procurement and escalates challenges to the Team Leader
  • Ensures that IASC core principles and Safeguarding standards are met and maintained accordingly
  • Reports cases of suspected SHEA to relevant authorities

Qualifications

  • Minimum Diploma in Business Administration with certification in Secretarial studies. Degree will be an added advantage
  • 1-2 years working experience in similar position
  • Previous work experience with big and complex projects
  • Ability to multi-task and work independently as well as in a team
  • Able to work under pressure
  • Pays attention to details
  • Professional and pleasant personality with good written and verbal communication and interpersonal skills
